Records should be retained only as long as necessary for sport psychology services, professional recordkeeping, audit, safeguarding, dispute resolution, legal obligations, and legitimate organisational purposes.
Consent records, safety/referral notes, audit logs, exports, and complaint records may remain where retention, safeguarding, legal, or audit duties require it.
Access, correction, consent withdrawal, deletion, and complaint requests should be verified, logged, reviewed against confidentiality limits, and handled by the responsible practitioner, data protection contact, or legal owner.
SPPS is not an emergency service. Immediate risk of self-harm, harm to others, abuse, exploitation, severe psychological crisis, acute medical condition, concussion red flags, or unsafe environment requires immediate local emergency, safeguarding, guardian, team medical, or licensed professional escalation outside SPPS.
